Administrator Onboarding Guide

Welcome to Immersio! As an administrator, you play a vital role in setting up a successful learning environment. This guide will walk you through the essential steps to get started with the platform.


Get Started with Your Immersio Dashboard

Objective: Quickly familiarize yourself with the main sections for managing your Immersio platform.

Instructions:

  1. Log in and Explore: After logging in, navigate through the primary sections:
    • My Space: Your personal landing page with quick access to important information.
    • User Management: Manage all platform users (instructors, students, tutors).
    • Learning and Growth: Build and manage courses, placement tests, and class schedules.
    • Payment (if applicable): Set up your payment gateway.
  2. Identify Quick-Access Links: Look for shortcuts to:
    • Add new users
    • Create courses
    • Set up payment gateway

Adding and Organizing Users

Objective: Learn how to set up and manage all platform users.

Instructions:

  • Navigate to User Management: Click “User Management” in the navigation bar.
  • Select User Role: Choose the user type (Instructor, Tutor, or Student).
  • Enter User Details: Fill in the necessary information (name, email, phone number, instructional language, etc.).

Creating and Managing Courses

Objective: Use AI to build course structures and add content aligned with your curriculum.

Instructions:

  • Go to Course Library: Navigate to “Learning and Growth” and click “Course Library”
  • Add a New Course: Click “Add a New Course” and enter the course title, description, category, and initial settings.
  • Use AI for Content (Optional): Choose to use AI to draft course content.

Setting Up Placement Tests

Objective: Develop placement tests to assess students’ initial proficiency levels.

Instructions:

  • Navigate to Placement Tests: In “Learning and Growth” select “Placement Tests”
  • Manage Placement Tests: Click “Manage Placement Tests”
  • Create a Placement Test: Click “Create a Placement Test” and fill in details like “Target Language” “Instructional Language” and “Test Type(Grammar or Listening).
  • Optional: Invite a Co-Instructor: Collaborate on the test with another instructor.
  • Generate Test Questions: Provide AI support keywords to generate questions and click “Generate Draft Placement Test”
  • Review and Save: Edit questions as needed and click “Save.”

Scheduling and Managing Classes

Objective: Schedule classes within each course to establish a consistent timetable.

Instructions:

  • Go to Class Manager: Under “Learning and Growth” go to “Class Manager”
  • Select a Course: Choose the course for the new class.
  • Add a Class: Click “Add Class” and input:
    • Class duration (up to 300 minutes)
    • Maximum number of students
    • Participating students (from enrolled students)
    • Assigned tutor
    • Virtual meeting URL (e.g., Zoom, Google Meet)
    • Start and end dates and schedule frequency

Adding Learning Materials to Classes

Objective: Provide essential resources for each class.

Instructions:

  • Edit the Class: In “Class Manager” select the class and click the edit icon.
  • Add Material: Scroll down and select “Add Materials”
  • Fill in Details: Enter the material title and description, then upload files (PDFs, slides) or links.
  • Add a URL: Paste the URL directly in the description field.

Monitoring Progress and Reports

Objective: Track student progress and course performance.

Instructions:

  • Go to Progress Report: Access the “Progress Report” section.
  • Review Reports: Review reports weekly or monthly to identify trends and areas for improvement (exposure, accuracy, response time, course completion rates, and student performance).

Ongoing Admin Tasks

Objective: Regularly update user information and permissions.

  • User Updates: Regularly update user information and permissions.
  • Content and Course Updates: Continuously add new learning activities, materials, and assessments based on feedback.
  • Data Management and Compliance: Periodically back up data and ensure compliance with data privacy regulations.
